Finance Officer
The Finance team on Enactus collectively manages the financial statement and conducts bookkeeping activities for all our projects, events and initiatives, including managing accounts receivable/payable, processing reimbursements, updating budgets, and assisting in quarterly audits. The Finance team is ultimately responsible for providing each individual project and event team with financial information related to their specific projects so they can make educated decisions regarding their finances.This year, the Finance team will work towards things like:
Establish a structure to provide the project management team and project team with more frequent and accurate financial information to allow better decision-making with regard to the allocation and spending of funds; including communicating to members what their individual spending limits are within their role
Updating projects budgets more frequently; being involved in the financial decisions with the project management team (i.e. making decisions on either fundraising more or spending less in the case of a deficit; or ensuring that cash-flow is well planned so there is no shortage of cash during low-fundraising periods)
Use Quickbooks Online for all financial transactions and budgeting
Process reimbursements on a regular basis and having a better understanding of the expenses that are incurred
Making invoices and ensuring they are paid on time.
Updating the reimbursement form for control purposes and the three audits for the year
Ensuring all Enactus projects and finances are in compliance with applicable governance principles and financial regulations
Finance Officers manage the day-to-day financial operations and bookkeeping of Enactus.YOU'LL NEED TO:
Be a first or second year student
Studying accounting or finance at uOttawa
Be motivated and be able to work autonomously to proactively complete tasks
Be detail-oriented and extremely focused on ensuring accuracy
Participate in regular bi-weekly working meetings to process transactions, issue reimbursements and update project/event budgets and financial statements
IT'D BE GREAT IF YOU HAVE:
Experience working with Intuit Quickbooks (Enactus uses Quickbooks Online for all our bookkeeping). No worries if not though, we’ll teach you!
Experience in financial bookkeeping, planning and/or management
Highly recommended that you've taken Intermediate Accounting 1 (ADM 2342) or an equivalent
YOU'LL BE WORKING ON THINGS LIKE:
Processing and submitting Enactus' financial statements and individual project/event budgets to the Financial Operations Coordinator for review and approval
Preparing all cheques for reimbursement and deposits to be made to our bank account
Follow an established process process to automate all processing of funds/expenses
Managing our Quickbooks account
Communicating to the members in each project team you're responsible for, in order to ensure everyone is submitting expenses reimbursement requests as soon as possible
